How Showup handles personal data

Showup is a scheduling and client-management app for personal trainers, run by GL Solutions SP ("Showup", "we") in Hong Kong. This page is our Personal Information Collection Statement under the Personal Data (Privacy) Ordinance (Cap. 486), and it explains two different relationships: the data we hold about coaches who subscribe, and the data coaches hold about their clients inside Showup.

1. Coaches: what we collect and why

It is voluntary to give us this data, but without an email address we cannot create an account, and without practice data the app has nothing to show.

2. Clients of a coach: who is responsible

A coach who records a client in Showup is the data user for that client's personal data. Showup is the coach's data processor: we hold and process the data on the coach's instructions, to provide the app, and for nothing else. The coach decides what is collected and answers a client's questions about it. Our terms bind every coach to use client data lawfully and to give clients a collection statement; the statement below is provided for that use.

For clients: a coach using Showup collects

Template statement. Your coach is the data user; contact them first.

It is used only to deliver your training, is held by your coach in Showup on servers in Singapore, and is never sold. Your coach may use AI to help write your progress reports, with your first name only, and checks every report. You can ask your coach to see, correct or delete your data, or to write your reports without AI, at any time.

3. Where the data lives and how it is protected

Practice data is stored in a database in Singapore, encrypted in transit and at rest, and a coach's sign-in can only read that coach's own records. Health answers, measurements, injuries, coach notes and reports are additionally sealed with a key held per coach, so a copy of the database alone cannot read them. Card details go to the payment provider and never reach us.

Our providers handle data only to run the service, under contract, and never for their own use: Supabase (the database, Singapore), Cloudflare (hosting), Stripe (payments), our AI provider (the AI features, which may be outside Hong Kong) and Google (only if a coach connects Google Calendar).

4. AI features

When a coach uses AI (a progress report, or reading a scan, photo or meal note), only what that task needs goes to our AI provider, which may be outside Hong Kong. For a report: the client's first name, age, measurements, training record and goals, with contact details taken out; never the full name or the coach's private notes. A photo goes only if the client ticked yes. Our provider may not use it to train its models. A coach can switch AI off in Settings, for everyone or for one client.

5. How long we keep it

6. Access, correction and erasure

You may ask to see or correct any personal data we hold about you, or ask us to delete it, by writing to contact@showuphk.com. We answer within 40 days as the Ordinance requires, and usually much sooner. A coach can export their whole practice from the app at any time, and can delete their account from Settings.

7. If something goes wrong

If we learn of a breach affecting your data we will tell affected coaches promptly by email, say what happened and what we are doing, and notify the Privacy Commissioner where appropriate.

8. Changes

We will post changes here with a new effective date, and email coaches about any change that affects how their data is used.
